Terms and Conditions

Use of Suite: Company/Guest represents, warrants and covenants to Atlantic Corporate Suites Ltd, (ACS). that Company/Guest’s use and occupancy of the suite is of a transient nature and the suite is not intended to be a permanent residence of the Company/Guest and is intended to be occupied for a temporary period. In no event shall the Company/Guest’s occupancy and use of the suite be construed to create any landlord/tenant relationship between ACS. and Company/Guest. This Reservation Agreement is not a lease and is not intended to convey to the Company/Guest any real property interest or estate in or to the suite or any other portion of the Property.

Maintenance problems should be reported immediately and will be handled in a timely and professional manner. The rental rate will not be adjusted due to any malfunction of equipment, including TV’s, DVD’s, Internet service/WiFi, air conditioning, hot water heaters, stoves, refrigerators, door locks, etc.

Although each property will be completely equipped for rental purposes, we cannot accept responsibility for aesthetic conflicts. We reserve the right to change units for any reason.

Renter(s) must be a minimum of 25 years old to reserve and check-in.

Arrival/Departure Dates: The arrival date is the first day of guaranteed occupancy. The departure date is a tentative date of move out and may be subject to change within the indicated notice to vacate requirement. If the departure date is equal to the minimum stay requirement, shortening of stay is not permitted.

Check-In / Checkout: Upon receipt of your payment, your Reservation Confirmation will be emailed to you.

Check-In starts at 4:00 PM on the day of arrival.

Check-Out is 10:00 AM on the day of departure. No exceptions unless requested and approved a minimum 24 hours in advance of departure.

Company/Guest must vacate the property and return the keys to the designated area no later than 10:00 am. Failure to check out on time could result in an additional day’s rate charge.

Rental Payment:  Rent is due the day before occupancy for rentals of less than a month and on the last business day before the rental month for longer term rentals. Late payment charge of 3% per month and/or NSF charge of $50.00 will be applied on late or NSF payments.

Deposits & Payments: A deposit equal to 25% of the reservation is required and due/payable to ACS the time of booking your reservation. A credit card is required for the deposit. Final payment of balance is due along with the security deposit on or before arrival date.

For reservations made within one (1) week of arrival date, the entire amount including the security deposit is due in full.

Once you have provided your credit card information and are given a confirmation number, your reservation is guaranteed and subject to all cancellation fees.

# of Guests/Occupancy: The number of guests permitted to occupy the suite/property anytime is restricted to the number of adults/children as outlined in the reservation agreement unless specifically authorized by ACS. Any extra persons above and beyond will result in extra fees and applicable charges and/or eviction or refusal of entry to the current tenant and/or its’ guests. Company/Guests may not assign, sublease, transfer the Reservation Agreement, the suite or any part thereof or permit the use of the suite by anyone other than the Guest and permitted occupants.  It is not permitted to leave residents in the suite overnight without someone over the age of 25.

Children: Children are welcome in Atlantic Corporate Suites apartments and are expected to follow the same rules as adults with respect to noise and respecting the comfort of other residents.

Guest Names: In the event that the reservation agreement is between ACS and a Corporation or business, the Company shall provide ACS with the name of the person(s) intending to occupy the furnished suite and any changes in occupant names prior to any such changes in order to ensure the current occupants are registered with the property when required. 

Corporate Guarantee: Whereas a credit card authorization form is not provided prior to booking for any fees and/or charges not covered under the Corporate Guarantee, Company/Guest guarantees full payment and liability for said charges and all fees and costs, including reasonable fees by attorneys or collection agencies, incurred in ACS efforts to collect all amounts due.

Default in payment: ACS reserves the right to remove the Company/Guest from the suite and/or change the locks on the suite as well as any other remedy at law.

Credit Reporting: For long term rentals, Company/Guest authorizes ACS to obtain a credit report from one or more consumer credit reporting agencies at anytime during Company/Guest’s stay. Guest understands that unless minimum credit scores are met the reservation may be cancelled.

Additional Charges: For the duration of the stay, the Company/Guest agrees to pay for any applicable charges and other fees as outlined and/or incurred for additional services either requested by Company/Guest directly thru ACS. A minimum $25.00 administration fee per bill period may apply to additional service requested, damage fees, extra housekeeping, incidental charges and/or any applicable charges excluding rent and parking. For extra services requested, fees will be outlined at time of quote when possible.

Internet Usage: When wireless networks are installed, user must maintain password protection.  Any changes to existing wireless settings will result in a $75.00 charge to reprogram network.

Utilities: Guest must ensure that all lights, small appliances, dishwashers/laundry machines are turned off when not in the suite. Guests are responsible to turn heating/cooling systems down when not occupying the suite to conserve energy and refrain from leaving windows open while using these systems. Excessive utility usage costs above and beyond the normal use averaged on a monthly basis calculated on an occupied unit may result in extra charges.  The addition of high consumption devices such as air conditioners is not permitted without approval and will be subject to an electricity surcharge. 

Minimum Stay: The Company/Guest shall be financially responsible for the suite for the duration indicatedfrom the arrival date and in accordance with the specified minimum term and notice requirements whereas availability is guaranteed only within this minimum term notwithstanding circumstances beyond the control of ACS or property management/owners whereas property rules and regulations change, owner submission to occupy suite, sale of property, etc.  

Notice to Vacate/Terms: In all circumstances the Company/Guest shall provide to ACS the minimum written notice required to confirm or extend the tentative departure date, as outlined in this agreement to vacate or extend the suite and will be financially responsible until that time. If the Company/Guest fails to give such written notice prior to the tentative departure date the agreement will automatically be extended for an additional 30 days whereas the required notice must be provided therein. Rate is subject to review after the initial term. ACS reserves the right to issue same notice to vacate notice to the Company/Guest beyond the minimum term.

Extensions: All extensions beyond the original departure date must be provided to ACS directly in writing or via email.  Any extension of the departure date is subject to availability and approval by ACS Any unauthorized occupancy beyond dates approved by ACS will be liable for all charges. 

Cancellations & Refunds:

Long Term Stays: Cancellations for long term stays (exceeding 30 nights or more) must be submitted in writing or via email 30 nights prior to arrival to avoid any applicable fees and charges.

1. If a reservation is cancelled within 14 days of arrival and another client rents the apartment for all of the cancelled dates, then the cancelling client is refunded all monies paid on the reservation except for a $125 cancellation fee or 15% of the cost of the re-booked nights, whichever is greater.

2. If a reservation is cancelled within 14 days of arrival and the apartment is not rented for the cancelled dates, then there is no refund and the full cost of the reservation will be due and charged to the credit card on file.

3. If a reservation is cancelled within 14 days of arrival and the apartment is rented for some of the cancelled dates and full payment has been made on the reservation, then credit is given for the rented nights and the refund is equal to the difference between the reservation cost and the credit minus a $125 cancellation fee.

4. If a reservation is cancelled a minimum of 14 days or greater of the arrival date, then a full refund is given.

5. For all cancelled reservations, the security deposit is always fully refundable.

ACS is not responsible for events beyond our control, e.g. inclement weather, maintenance issues.

Security Deposit & Damage

Renter agrees to pay a security deposit of $350, which shall be in the form of a VISA or MASTERCARD authorization. Release of the deposit shall be subject to inspection of the rental property and will be returned within thirty (30) days of departure provided there is no damage or additional charges. Renter hereby authorizes ACS to charge the credit card for the cost of repairs, replacement, services, telephone charges or extra cleaning for all damage, breakage and/or loss incurred during his/her stay. In the event of damage to the premises, its equipment, furniture, or carpeting, Renter shall be responsible for damage costs exceeding the security deposit, including collection costs and attorney’s fees. Documentation detailing damages and charges will be provided to the guest.

Rules/Regulations of the Property: Company/Guest agrees that he/she (and any occupant or invitee) will abide by these Terms and Conditions and all rules and regulations of the Property including any applicable condo board rules. ACS and/or the building management reserve the right to remove any guest due to misconduct or violation of these Terms and Conditions or such rules and regulations. Criminal activity, excessive noise, verbal/physical abuse to any onsite management staff, other guests, etc., neglect to the property and/or suite will result in immediate removal of all tenants (occupants/invitees). Upon notice of removal, ACS is not obligated to provide alternative accommodations.

The use of any hydroponic equipment for any purpose, with or without permit is strictly forbidden and will result in the immediate cancellation of your rental agreement. Client will be responsible for all costs related to the re-rental of the apartment.

NON-Smoking and Scent Free: All suites are non-smoking and scent free. There will be no smoking or burning of candles or incense permitted in any of Atlantic Corporate Suites’ apartments.  If either of the above is assumed in the suite, the guest may be evicted immediately without notice or refund and a damage fee of a minimum $495.00, any applicable cleaning fees, repair fees and/or condominium fees/fines will be charged to the Company/Guest.

Pets: Although most suites are not pet friendly, some have been made available to accept pets. Written approval of the specific pet must be obtained in writing prior to entering suite (any additional or changes in pets will require separate written approval). Company/Guest complies with the following terms: (a) must abide by all property restrictions and rules regarding pets at all times; (b) must pay to ACS a non-refundable pet sanitation on $495.00 fee prior to move-in; (c) is responsible for any damages to the suite and common areas of the Property; (d) must manage their pets, including immediately cleaning up after them in the suite and common areas of the Property; (e) Pets are not permitted in the garage or parking area; (f) excessive noise will not be allowed; and (g) must confine pets during periods when ACS and/or management/owner employees are scheduled to visit. Company/Guests may be asked to remove the pet from the Property if there are any violations of these rules. ACS may terminate the reservation with respect to any Guest that refuses to comply with the above terms.

Telephone/Long Distance: The Company/Guest are solely responsible for any incidental and long distance charges incurred during the stay as outlined in this agreement, which will be invoiced upon receipt of bill from service provider. Final bill may be received up to 30 days after departure. Guests are permitted to change the voicemail password if applicable during occupancy, but are required to change the password back to the allocated code provided at time of arrival or reset fees will apply. 

Housekeeping Service: When applicable, housekeeping service is a regular cleaning of the suite including a light dusting, cleaning of kitchen/bathroom, washing of towels/linens (not applicable to all locations). It does not include personal laundry, dishes or clean-up of personal items. Company/Guest agree to pay for extra housekeeping service requested outside of the scheduled cleaning dates, tenant changeovers and/or any extra cleaning required above and beyond the normal required time allocated to clean the suite during regular cleaning and/or full move out cleaning. Applicable charges will vary and are based on the extra time required. Guests are required to maintain the overall cleanliness of the suite during occupancy and are expected to leave the suite in the same condition on move out as was provided. Please ensure apartment is in a tidied state before cleaner arrives.

Keys/Fobs/Cards: Company/Guest will be liable for costs for any loss of keys, garage door openers, passcard, fobs, etc. required to access the suite, common areas, property, garage, etc. which are provided during Company/Guest’s stay. Company/Guest is liable for all charges incurred for items not returned immediately upon move-out. A locked out or lost key charge will also be applicable at a rate for $75.00 per incident.

Damages: Company/Guest will be liable for any damages to the suite and its furnishings or fixtures and/or the common areas of the Property due to negligence, neglect or abuse of Guest, any occupant or invitee (including any extra cleaning or repairs required at the discretion of ACS). The Company/Guest agrees to maintain the suite and all furniture, furnishings and household effects in as good condition as upon arrival (only reasonable wear and tear accepted). If during occupancy or upon departure any damage has been assessed whereas any items have been broken, damaged, lost or rendered useless, the Company/Guest agree to pay the cost of replacing such items at their reasonable replacement cost and/or cost of repairing such items and any applicable administration fees. Final damage assessments to be provided within 30 days of departure. All suites inspected prior to arrival. Company/Guest must report any discrepancies within 72 hours of move-in.

Windows and Heat: It is the tenant’s responsibility to ensure that the windows are closed in the winter and the temperature set at a minimum of 20 Degrees Celsius.  Failure to do so could cause pipes to freeze resulting in thousands of dollars in damage to be paid by the tenant.

Access/Entry to Suite: ACS and all persons authorized by it, with or without workmen, reserves the right to enter the suite to inspect, repair, remodel and/or maintain the suite and furnishings, as well for the purpose of showing the suite as noted under special circumstances and/or whereas notice to vacate by Company/Guest as been provided. 24 hours written notice will be provided for access to the suite for non-emergency requirements and such entry will not be deemed to be an interference with the Guest. Whereas maintenance or repairs have been submitted or requested by the Company/Guest, notice of entry will be provided when possible. Guest is not permitted to change or add any locks or other similar devices which would have the effect of preventing ACS and/or authorized persons from entering the suite. Any costs required to remove such devices or gain access to the suite will be the responsibility of the Company/Guest. 

911/Emergency Services: ACS is not responsible for any limitations or inability to access 911 services during occupancy due to phone service interruptions or equipment failure. 

Insurance/Liability: The Company/Guest agrees to take good care of the suite and not to perform any hazardous, offensive or unlawful activity in the suite or the common areas of the Property. The Company/Guest agrees to obtain and/or maintain its own insurance in case of damages and/or be responsible for the personal property of the Company/Guest and/or any occupant or invites and agrees and acknowledges that ACS will not be responsible for any such items and/or personal possessions left in the suite or common areas of the property during occupancy or after departure.  Company/Guest may not rely on any contrary verbal or written assurances provided by ACS staff in this respect. 

The Company/Guest hereby assumes full responsibility of all injuries or damages to any occupant’s or invitee’s use of the suite or the common areas of the Property, arising in the suite and/or property and shall indemnify ACS from and against all liability, damage, penalties, judgments and/or any loss sustained or expenses incurred on account of any such action or claim of whatever nature arising from injury, person, or property sustained by anyone in or about the suite/accommodation and property. 

The Company/Guest agrees and will abide by any terms and requirements set out by the owners/management/condo board and/or affiliates of said property/suite booked with ACS
